Projects implemented in the field of safety and quality within the gas stations sector

Project 1: Automation of Inspection and Field Visit Reports at Fuel
Stations


Implementing Entity: Quality and Safety Department – Saudi Automotive Services
Company (SASCO)
Duration: 3 months (including design, pilot phase, and field application)
Target Group: Field inspectors, area managers, operations and maintenance
departments, top management

Project Background:


Through the follow-up of inspection and field visit reports, we observed several
challenges:

  • Dependence on paper or Excel-based reports, making tracking and analysis
    difficult.
  • Delays in processing observations and violations.
  • Inconsistency in report quality among different inspectors.
  • Absence of real-time KPIs to support decision-making.

Project Objectives:

  • Convert all observation and violation recording processes to a unified digital
    system.
  • Improve the accuracy and quality of inspection reports.
  • Reduce the time between report submission and action.
  • Enable management to monitor performance indicators in real-time.

Project Components:

  • Design of a digital observation form supporting photo uploads, geolocation, and
    automatic classification.
  • Provision of tablets or enabling smartphone use.
  • Development of an interactive dashboard by region and inspection category.
  • Automated alerts to relevant departments when a critical observation is reported.

Project Outcomes:

  • Processing time for observations was reduced from 10 days to less than 48 hours.
  • Data accuracy improved by over 90% due to standardized forms.
  • Weekly and monthly reports are now generated automatically without manual
    input.
  • The project enhanced monitoring efficiency and root cause analysis.

Lessons Learned:

  • Digital transformation alone is not enough; it must be integrated with training and
    awareness.
  • Direct involvement from field inspectors helped refine the final design.
  • Automation improved performance and reduced the paperwork burden on field
    teams.

Project 2: Instant Incident and Observation Reporting via QR Code and WhatsApp

Implementing Entity: Quality and Safety Department – SASCO
Duration: 6 weeks (development – pilot application – full implementation)
Target Group: Fuel station employees, supervisors, field safety officers

Project Background:


It was observed that several incidents, such as minor fires, leaks, or unsafe practices,
were not formally reported—either due to lack of direct reporting channels or employees’
fear of blame.


Project Objectives:

  • Empower all employees to report incidents and observations instantly from their
    worksite.
  • Simplify reporting without requiring forms or emails.
  • Improve the response time of the safety and quality teams.

Project Components:

  • Design of QR code stickers linked to the central safety team’s WhatsApp number.
  • Placement of QR stickers in strategic locations at each station.
  • Auto-response messages guiding the reporter on what information to submit
    (photos, location, description).
  • Integration of reports into tracking and follow-up systems.

Project Outcomes:

  • Incident reporting increased by more than 70% during the first 3 months.
  • Several overlooked risks were identified and analyzed (e.g., small leaks or unsafe
    actions).
  • The project contributed to early risk detection and mitigation.
  • It reinforced a sense of ownership and safety culture among station staff.

Lessons Learned:

  • Simplifying procedures leads to higher engagement and compliance.
  • Easy access to the safety team helped build trust.
  • Technology must be paired with ongoing awareness and training to ensure
    effective use.
